The GDMS program allows users to carry out bulk emailing to Lessors in a simple and efficient manner.

Multiple attachments can easily be added to emails and the same functions can be used to carry out a bulk printing for Lessors without email addresses.

 

To access the emailing functions click on the "Bulk Email" tab

 

Next select the date range of archived items you wish to have access to, then click the "Set Dates" button. (Note: Keeping the date range to a minimum will improve the speed and efficiency of the process.)

                                       

Next, click the "Show Email" button and then select the alphabetical button for the Lessor/s you wish to access.

 

To send an email to one Lessor, simply click on their name.

 

To send an email to a selection of the currently displayed Lessors, click on each one while holding down the <Ctrl> key on your keyboard.

 

To send an email to all currently displayed Lessors click on the status bar where indicated.

Next, check the items you wish to attach to the email

If you wish to add an "Extra", such a newsletter, flyer or brochure, you will need to locate the item and add it to the extras list.

 

Click on the "Extras" tab and then the plus (+) sign. This will open an explorer window so you can locate the item you wish to add.

A NOTE ABOUT ATTACHMENT SIZES

 

Items that have been added to "Extra Items" are displayed with a "traffic light" indicator next to them. The "traffic lights" are used to indicate the suitability of the item. GREEN indicates the item is of a small size and is suitable as it is, YELLOW indicates that the item a large item, but one that is still suitable and RED indicates that the item is too large and must be resized or scanned again before it can be imported. An example of this is show below:

The folder location will now be displayed and all items in that folder that are available for import will be displayed. You will notice that each available item will have a "traffic light" indicator next to it. The "traffic lights" are used to indicate the suitability of the item. Finally, the body of the email must be generated and an email footer if required.

 

Click on the "Body" button/drop down menu, here you have the option to select the email body you wish to use, add a new one from elsewhere on your system or create a new one from scratch using the Email Editor function. Generally you will choose "Select Body" and use the DEFAULT which is shown below.

If required you can also add an email footer which could be a message such as "Seasons Greetings for 2011.

 

Click on the "Footer" button and then enter your message into the pop-up window.

Once you have selected the Lessor/s you wish to email, the required attachments and the email body and footer the email can be sent by clicking on the "Process Email" button. If "Extras" have been selected as attachments then you will need to click the "Process Extra" button.

Bulk Printing

 

The same functions can be used to carry out a bulk printing for Lessors without email addresses by clicking on the "Show Print" button rather than the "Show Email" button. This will display Lessors who DO NOT have email addresses entered into the GeeDee system and enables bulk printing if required.

 

Bulk Email/Bulk Print History

 

It is possible to display or print a report of all bulk emails/prints that have been created during a specific period. From this report, it is easy to see the status of items and the user can confirm if the item has been sent or failed.

 
When on the "Bulk Email" tab, click on the "History" icon select "Bulk Email" or "Bulk Print", then choose the type of item you wish to view eg: "Lessor". Select a date range to be viewed and then select the "All" icon or the "sent" icon to display your selections on the screen. To print the report, simply click on the ""printer" icon.
