Some letters for fixed purposes (leases, overdue rents etc.) can be generated from the alerts program item.
In addition to these letters, it is useful to be able to generate other merged letters. Once an Lessor, or Tenant record has been located on the desktop, select the lower tab Letters.
The details of other letters, which have been generated, are shown in the grid. The buttons marked Send Letter and eMail Letter allow the generation of a merged letter. A search dialog box appears, and the selected letter can be generated. Additionally, there is an Edit Letter button in the dialog that allows the user to access the Edit Letter program item so that letters can be created, or edited just before sending.
The text of each letter that has been generated and saved is stored as it has been printed or emailled, complete with all fields as merged. Use the View Letter button to view a letter at any time or use the Print Copy button to print a copy of the letter. This can mean that it may not be necessary to print and file a second copy.
A note of letters emailled and printed is saved in the Notes tab.
On the Tenant letter form, there is a button to generate Documents. This is useful for items like Termination Notices. Unlike letters, documents do not have letterheads printed on top of the page and cannot be reprinted.
