Quick tips for using less paper and saving money for your office.

NOTE: DO NOT TRY TO GO PAPERLESS COLD TURKEY.  START OFF BY SIMPLY GOING “LESS PAPER” TO START WITH.

We could not recommend jumping into a completely paperless office right away.

This is why we would like to make the announcement and offer advice on reducing first.

Going paperless, or simply using “less paper” is a process that requires great consideration. Many businesses transition to a paperless office, may be too quick, and they soon find out exactly how overwhelming the move can be.

We recommend starting off at a pace to suit and then progressively move into a e-Paper business environment.

Take time.

Do not rush.

 

For example, you could simply start by:

Printing and photocopying on both sides of paper.
Printing on both sides will cut paper use by 50% straight away!
Make sure your office machines are able to print or copy on both sides.
Invest in that duplex printer add-on.
Reduce font sizes and increase margin sizes to squeeze more on each page.
Use e-mail whenever you can and only print out if absolutely necessary.
Review drafts and include comments on screen, and return them electronically.
If you have to print drafts, do so at a smaller scale (more than one page per side).
Use overhead projectors and white boards in meetings instead of paper handouts.
Eliminate unnecessary printed forms.
Use internet publishing and electronic forms to reduce paper copies.
Receive and send your faxes electronically. Get rid of that paper based fax machine.
Set targets for reducing the paper your office uses and then try to achieve them. Ensure everyone understands.
Use an Electronic File Management and Archival System.
Don’t print it – back it up!
