Printer Notes and Setup

Welcome to Western Australia’s leading ®MS Windows based Real Estate Trust Accounting and Property Management Software System – feature packed, stable, powerful and easy to use.
This technical guide will explain changes to be made to your PC to assist in the configuration, stability and performance of your system for the GeeDee Software.
This guide is designed for both the technical and non-technical users for ease of use.  The objective of this guide as with all of the GeeDee documents, is to assist you with the installation and correct configuration of your PCs.
The purpose of the GeeDee Guide is to transfer this experience to you.
Enjoy the challenge, it will give you a lot more confidence with your PC!

 

NOTE 1: - When ordering your Receipts & Cheques be sure that they conform to the GeeDee recommended format (see GeeDee samples).

NOTE 2: - ALL Printer’s proofs of Cheques and Receipts MUST be submitted to GeeDee to check for compliance before giving final approval to your printing company.
NOTE 3: - Receipts MUST NOT be numbered as the numbering is carried out automatically by the GeeDee System.

NOTE 4: - Only use business oriented printers.  Do NOT use “Host-Based” Printers. See information on “What are Host-Based or Windows Only Printers?”.

Where to SELECT and DIRECT  your Printers in the GeeDee Desktop software. (See Printers Setup)

In GeeDee System Setup, please confirm *Printer Options has enable the "Windows Printer" Checkbox under LetterHead.

GENERAL PRINTER INFORMATION:

 

1.Make sure that your printers are setup in Windows correctly.
2.Make sure that your printer port is setup as an SPP (Standard Printer Port).
3.For GeeDee printing it is best to reinstall all the printers that are to be used with the GeeDee system.
4.Take advantage of our recommended naming conventions.                             See Example image below: “HP LaserJet 2100 Receipt-  Have the function the printer performs in its name label. This will make it easier for selecting in GeeDee “Printers Setup” and will take advantage of our redundant printer features.
5.Remember, take advantage of our recommended naming conventions for ease of use. Name your printers accordingly!  Ideally the best naming convention is to label each relevant printer according to its function.

What are “Host-Based”, “Windows Only” or “Brainless” Printers?

Several manufacturers -- including Hewlett-Packard, Canon, IBM, Kyocera and others -- are currently selling "host-based" printers in addition to their traditional printers. These host-based printers can be very difficult to get working with applications.

Traditional printers contain a processor, programming, and memory in addition to their mechanical components. Applications send character codes and shape commands directly to the printer. The printer then uses its internal processor and memory to process those into the necessary paper movement and print head movements that "draw" characters and lines on the page.

Host-based (or "Windows only") printers do not have the processor, programming, or memory inside. These components have been eliminated from the printer's design in order to cut costs – making the printer less expensive to manufacture. By themselves, these printers are essentially "brain dead", and cannot respond to character codes or print commands.

So how do host-based printers work? They rely on a Windows printer driver and your computer's processor and memory to do the work that is performed internally by traditional printers. Character codes and drawing commands flow from your application software to the Windows printer driver where they are processed into paper movement and print head commands that are sent to the printer.

The main advantage of host-based printers is cost. Because they lack a processor, programming, and memory, a host-based printer usually costs $50-$100 less than a traditional printer with the same print quality.

There are some huge disadvantages, however. One is that host-based printers force your computer to do more work and use more memory, which can slow printing and other software running on your computer.

If you want the best system performance when printing, then you should steer clear of host-based printers. If cost is the most important element to you, then a host-based printer will save you money – but will slow down your computer for intensive printing programs and make printing from some applications difficult or impossible.

To determine if a printer is host-based, please check the printer specifications before purchasing.

 

PRINTER INFORMATION:

Work-a-rounds for “Host-Based” Printers:
 

1.REMEMBER: In   “GeeDee  System  Setup” having  the   “Windows  Printer” option unchecked = Direct printing to (LPT) Printer Port (i.e. Direct  DOS Printing).  This could be what is preventing your “Host-Based” printer from working.                                                   Try having the “Windows Printer” option checked in the “GeeDee System Setup” program to activate Windows Printing.
2.Note: The problem is not with GeeDee, but with certain manufacturers of Windows printers and printer drivers. Most are designed to support Direct LPT (DOS) driven printing within Windows, but they don't always work. A few are not designed to support this direct printing feature at all.
3.Work-a-round 1: You may not have the facility to print from GeeDee to the printer locally. But, you can always easily print through the network to these printers.     Example for HP LaserJet 1010: Share the HP 1010 Printer. Load HP LaserJet 4L driver on a networked PC. You can now print through the network to this printer.
4.Work-a-round 2:  Another possible work-a-round is to go into the Settings of your Printer and:
Right-click on the printer you are using, select "Properties" | Select the "Details" tab | Click on the "Port Settings..." button.
Try and change the setting of the "Spool MS-DOS Print Jobs" box.
For some traditional printers, this setting should not be check-marked.  For most “Windows Only” or “Host-Based” printers, it must be check-marked.
If in doubt, try it both ways -- it will not "hurt" anything and may solve your problem!
Save the change by pressing the "OK" buttons
Make sure that the correct printers are also selected in the GeeDee System.

 
If you still have trouble, contact your printer's manufacturer for technical assistance. The problem is either a capability limitation of your printer, or a flaw in the driver software supplied by the manufacturer. The manufacturer may have a later version driver or other suggestions on their website that will correct the problem.

 

 

Printer Trouble Shooting - Reminders:
 

1.REMINDER 1: If your printer feeds the cheque paper through without printing please check you have added “CHQX” to the printer name “Cheque” e.g. Cheque CHQX”.
2.REMINDER 2: The "CHQX" option bypasses the MS Windows Printing System and directly makes use of the 8pt or 14pt Courier font inbuilt into your printer. The size of the font used depends upon what size you select in “GeeDee System Setup”. (The choice of size is between 8pt and 14pt).
3.REMINDER 3: Do NOT attempt to use inbuilt fonts or pre-defined settings directly from your own dot-matrix printers. GeeDee is designed to bypass these settings and only use the GeeDee System Setup.exe settings.
4.REMINDER 4: If you have only the one printer for printing your Cheques and Receipts you MUST install and setup 2 separate printer drivers! eg: One driver for the Cheque and One driver for the Receipt printer.
5.REMINDER 5: Re-select any newly named printers within the GeeDee program itself.
6.REMINDER  6:  If you print cheques to either a Laser printer or Inkjet printer DO NOT use the naming convention “CHQX” in the printer name.
7.REMINDER  7:  Once installation is completed test the printing on each machine.  Test the printer settings by printing a sample Cheque (see “Cheque Toolbox” option in “Banking” Dropdown menu). For Receipt (see “Print Receipt” option in Banking Dropdown menu), daily banking (see “Banking” Dropdown menu) and an owner’s statement (see “Owner” Dropdown menu).

 
 

 

RECEIPT PRINTING SETUP (INCLUDES REPORTS & LETTERS)

Proceed as follows for Laser / Inkjet Printers:

 

1.Read “General Printer Information” (Page 2).
2.For printing within the GeeDee for Windows program it is easier to install new drivers for each of the printers that are to be used with the GeeDee System.
3.If you print receipts to either a Laser or Inkjet printer DO NOT use the Form Feed command of “CHQXin the printer name.
4.CHQX” is a 21 line form feed command ONLY to be used for Dot-Matrix Cheque printers!
5.Name your printer as per its function eg: “Receipt”. (See image on Page 2).
6.When you have created your brand new printer driver or renamed an existing printer, please be sure to select your new printers in the GeeDee System.
7.The “Setup Printers” configuration screen (See below), is accessed via the “Help” DropDown Menu in GeeDee. Click on “Printers Setup”, enter your own password and be sure to select your newly named printer/s by clicking on the appropriate dropdown button.

 

8.Default printer password in GeeDee is BENNY.
9.Shut the “GeeDee for Windows” system down and open “GeeDee System Setup”. Select the Letterhead tab and ensure that the "Receipts on Dot-matrix" button is un-selected.
10.NOTE 1 – Recommended Setup: In “GeeDee System Setup” have the “Windows Printer” option unchecked = Direct printing to (LPT) Printer Port. (No need for custom form/page setups).

 

 

11.NOTE 2 – Alternative Setup: Have the “Windows Printer” option checked = Uses Windows Printing (custom pages option) to print to the Printer Port.                             The best option is to use the described GeeDee naming and labelling method, thereby avoiding custom page setups and having to tick the “Windows Printer” box (see above).
12.You can always check the printers in MS Windows by left clicking | Start | Settings | Printers. *Remember to keep paper sizes set to their defaults for all printers!
 

 

RECEIPT PRINTING SETUP

Proceed as follows for Dot-Matrix Printers:

 

1.Read “General Printer Information” (Page 2).
2.For printing within the GeeDee for Windows program it is easier to install new drivers for each of the printers that are to be used with the GeeDee System.
3.If you print receipts to Dot-Matrix printer DO NOT use the Form Feed command of “CHQXin the printer name.
4. “CHQX” is a 21 line form feed command ONLY to be used for Dot-Matrix Cheque printers!
5.Epson LX-80 drivers have the best features built in for customising the settings of your printer. Please use the Epson LX-80 drivers for all dot-matrix printers.
6.To help speed up dot-matrix printers, for Receipts and Cheques, it will print faster if they are set to “Draft” in the “Print Quality” mode under “Device Options” of the “Properties” window.  Also setting the Resolution to 120 x 72 under “Graphics” (or lowest possible) will improve the speed of your printer and save your printer ribbon costs immensely.
7.Name your printer as per its function eg: “Receipt”. (See image below).

 

8.If you use a Forms Printer and do not receive the best print results, please also test your printers Primary & Secondary emulation drivers for desired output.
9.NOTE: For dot-matrix Receipt printing please include in the label AND in the Network Share Name the word “Receipt”.  The printer share name on your network shares will now appear with the title “Receipt” in it.

11.When you have created your brand new printer driver or renamed an existing printer, please be sure to select your new printers in the GeeDee System.

16.NOTE 2 – Alternative Setup: Have the “Windows Printer” option checked = Uses Windows Printing (custom pages option) to print to the Printer Port.                             The best option is to use the described GeeDee naming and labelling method, thereby avoiding custom page setups and having to tick the “Windows Printer” box (see above).
17.You can always check the printers in MS Windows by left clicking | Start | Settings | Printers. *Remember to keep paper sizes set to their defaults for all printers!

 

 

 

CHEQUE PRINTING SETUP  (INCLUDES REPORTS & LETTERS)

Proceed as follows for Laser / Inkjet Printers:

 

1.Read “General Printer Information” (Page 2).
2.For printing within the GeeDee for Windows program it is easier to install new drivers for each of the printers that are to be used with the GeeDee System.
3.If you print receipts to either a Laser or Inkjet printer DO NOT use the Form Feed command of “CHQXin the printer name.
4.CHQX” is a 21 line form feed command ONLY to be used for Dot-Matrix Cheque printers!

11.NOTE 2 – Recommended Setup: In “GeeDee System Setup” have the “Windows Printer” option unchecked = Direct printing to (LPT) Printer Port. (No need for custom form/page setups).

CHEQUE PRINTING SETUP

Proceed as follows for Dot-Matrix Printers:

 

1.Read “General Printer Information” (Page 2).
2.For printing within the GeeDee for Windows program it is easier to install new drivers for each of the printers that are to be used with the GeeDee System.
3.Epson LX-80 drivers have the best features built in for customising the settings of your printer. Please use the Epson LX-80 drivers for all dot-matrix printers.
4.To help speed up dot-matrix printers, for Cheques, it will print faster if they are set to “Draft” in the “Print Quality” mode under “Device Options” of the “Properties” window.  Also setting the Resolution to 120 x 72 under “Graphics” (or lowest possible) will improve the speed of your printer and save your printer ribbon costs immensely.

Adjusting the Layout of your Cheques:

If the printing on the cheques does not line up correctly you will need to adjust the appropriate X and Y co-ordinates in the “Cheques” tab in the "GeeDee System Setup". Note that the X co-ordinate relates to inches from the left of the cheque and the Y co-ordinate relates to inches from the top of the cheque.

The height (length) of cheques and receipts is controlled by the settings in the “Cheque” and “Receipt”, “Paper Lengths” fields in the “Cheques” tab in the "GeeDee System Setup". These settings may vary between 3.5 and 3.8 inches depending on the particular brand of printer you are using. It is recommended that you try 3.666667, as this appears to suit the majority of printers.

Within the |File| / |Alerts| dropdown menu of GeeDee, it is possible to print address (Laser/Inkjet/Photocopier) labels for mail-outs.

The labels print out 3 across by 11 down in an A4 page.

As it is not possible to vary these figures, you may wish to know that the labels are 70mm x 25mm.
