Authorities frequently charge water consumption to the Lessor of a property, and not the tenant. It is then the responsibility of the Lessor to pay the bill, which can be paid using the Creditor system. The funds will be debited from the Lessor's account and appear on his statement. Depending on the lease agreement, an Lessor can then recover funds from the tenant for water consumed.
Unfortunately, due to the way in which the Water Authority charges for water, the charge to a tenant who is paying for 100% of water consumption is not necessarily the same amount as what is on the bill. This program follows the method of calculation as set out by the Ministry of Fair Trading.
|•||Enter the charge date.|
|•||From the lease agreement, enter the percentage of the bill that the Lessor has agreed to pay.|
|•||If the Lessor has set a maximum per annum amount to which his contribution is limited to, enter this limit.|
|•||Enter the readings, and dates of the readings.|
|•||The charge will be automatically calculated when the cursor enters the field. Click the Calculate button to recalculate the charge and print out a calculation sheet, together with an explanation. It is optional whether this calculation sheet is sent to the tenant, as it can sometimes lead to confusion.|
|•||The charge, Lessor's contribution, and tenant's liability are displayed on the screen. Edit the values if necessary.|
|•||Click Post and the item will be added to the tenant's outstanding accounts.|
|•||The charge will appear on the Tenant Statement and outstanding accounts until it is paid or cancelled.|
|•||Make sure that the scale of charges is correct. They may be changed in the System Setup program. The printout of the calculation shows the scale used.|
|•||Once an invoice is paid, the dates and readings advance, and the charge cleared on the screen. Otherwise, press the Clear button.|
|•||The system can use more than one scale of charges; the scale in use is displayed at the bottom of the screen. Use the Navigator bar to change to another scale of rates.|
|•||A tenant cannot have more than one charge for water entered on the same day. If the post button is pressed a second time, any existing charge on that day is overwritten.|
|•||Use the Tenant Accounts item to check the charges that have been posted.|
|•||To change the amount of the charge already posted for a date, change the readings etc and press Post again.|
|•||Charges are calculated to the nearest 5 cents.|
You are now able to search by Property address under Water Consumption
Water Consumption invoice can now be emailed. Once the account is POSTED the Email or Print button will appear
